How many attendees do you expect?
Attendance varies by event, location, and date. Typical attendance information is provided with each exhibiting opportunity above.
Final attendance is not guaranteed, and registrations often continue close to the event date.
What is included with my exhibit space?
NYSCA exhibit spaces typically include a table with a tablecloth in a carpeted area, up to four representative badges, and one Saturday lunch. Additional lunches may be purchased for registered representatives.
Note: We typically recommend no more than two representatives in the exhibit space at a given time.
Space dimensions, other furnishings, pricing, and ordering deadlines vary by event. Please review the event’s exhibitor prospectus for complete details.
Do I need to register as an exhibitor to access the exhibit area?
Yes. Organizations wishing to promote products or services, distribute materials, or conduct business within the exhibit area must be registered for exhibit space.
Exhibit space is limited and advance registration is required.
Can I request a specific exhibit location?
Yes. Exhibitors may request preferred exhibit locations, and NYSCA will make every effort to accommodate requests based on availability.
Corporate Sponsors receive priority placement as part of their sponsorship benefits. Remaining exhibit locations are assigned based on exhibitor preferences, availability, and event needs. Specific locations cannot be guaranteed.
What happens if exhibit space sells out?
Exhibit space is limited and some NYSCA events sell out. When available, organizations may join an exhibitor waitlist and will be contacted if space becomes available.
Will I receive an attendee list?
Registered exhibitors receive a post-event attendee postal mailing list. The list does not include email addresses or phone numbers, and NYSCA does not provide a pre-event list. We encourage exhibitors to connect with attendees during the event and collect contact information directly from those who wish to hear from them afterward.
How can I get the most out of exhibiting?
The most successful exhibitors actively engage with attendees throughout the event. Consider providing useful information, demonstrations, samples, giveaways, or another reason for attendees to visit your exhibit.
Exhibitors are also encouraged to promote their participation through their own communication channels before the event.
Can exhibitors host a presentation, dinner, or other activity during the event?
Exhibit registration does not include presentation time in NYSCA’s educational program. Exhibitors planning a separate activity during the event must obtain NYSCA’s approval in advance so its timing and location do not interfere with convention programming. Exhibitors generally coordinate any venue arrangements directly with the venue.
Is electricity available at my exhibit?
Electrical access varies by venue and may require advance arrangements or an additional fee. If your exhibit requires electricity, please review the event-specific exhibitor information or contact NYSCA before the event.
Is Wi-Fi available?
Wi-Fi is generally available at NYSCA event venues. Available networks are typically public venue Wi-Fi and should not be considered secure.
Exhibitors should plan accordingly if their exhibit requires a secure or dedicated internet connection.
How do I ship materials to the event?
Shipping procedures vary by venue. Please follow the instructions provided in the exhibitor materials for your specific event.
Do not ship materials directly to the hotel or venue unless instructed to do so. Exhibitors are responsible for arranging return or outbound shipping for materials following the event.
Why aren't there exhibit hours on Sunday?
Sunday programming is typically shorter and focused primarily on continuing education. Based on prior exhibitor and attendee participation patterns, NYSCA generally schedules dedicated exhibit hours on the days that provide the greatest opportunity for interaction.
Exhibitors should refer to the schedule for each event for current exhibit dates and hours.
